Managing Expenses on the Go

Learn how to use the Xero mobile app to photograph receipts and claim your business expenses instantly.

No more shoeboxes full of receipts! With the Xero Me app (formerly Xero Expenses), you can capture business spending the moment it happens, saving you hours of admin at the end of the month.

Step 1: Download the Xero Me App

Search for Xero Me in the Apple App Store or Google Play Store. Log in with your standard Xero credentials. Once logged in, your organization's data will sync automatically.

Step 2: Capture a Receipt

Tap the + icon at the bottom of the screen and select Expense Claim. Aim your phone camera at the receipt. Xero's smart technology will automatically read the supplier, date, and amount.

Step 3: Review & Categorize

Double-check the figures extracted by the app. You'll need to select a "Category" (this is your account code, like 'Travel' or 'Office Supplies'). If you paid for this yourself, ensure "I was paid" is selected for reimbursement.

Step 4: Adding Details

You can add a brief description of what the expense was for (e.g., "Client meeting with Acme Corp") and even assign it to a specific Customer or Project if you have the Projects module enabled.

Important Note

Make sure the receipt photo is clear and the VAT amount is identified correctly if you are a VAT-registered business.

Step 5: Submit for Approval

Once you're happy, tap Submit. Your expense will now appear in the main Xero application under Business > Expense Claims, ready for approval and payment.
